These general terms and conditions apply to all agreements with Arcticmarathon. You can receive these terms and conditions upon request.
Below you will find the most important points:
Booking, payment & travel documents
An agreement is established after the booking form, which you can find after clicking 'Book your trip here', has been completed and sent to Arctic Marathon. Once the booking has been made and the payment has been made, Arcticmarathon will make the reservation final. Please note: Arcticmarathon will only send the booking confirmation by email. You will therefore not receive it by post/mail.
Your details are stated on your invoice. Check whether they are correct as they are in your passport.
If something is not right, inform Arcticmarathon as soon as possible.
Because we charter a airplane, you do not receive airline tickets. On your departure date, your details will be on the passenger list and you will have to present your passport for identification at check-in at Amsterdam Schiphol Airport.
Changes after booking
If you want to make changes after the booking is final, Arcticmarathon will do its best to arrange this. However, we can not give any guarantee here. If necessary Arctic marathon will charge € 50, - , as well as any additional costs that are charged to Arctic Marathon.
You are responsible for having the correct and valid travel documents. Arcticmarathon can not be held liable if a trip can not take place through not having the correct documents. For Svalbard, you must have a valid travel document (passport only). This must be valid until the day of departure. No visa conditions apply.
If you need to cancel your trip with Arctic Marathon, you must notify us in writing (by mail or email). Arcticmarathon uses cancellation conditions for this.
The general cancellation conditions are as follows:
• In case of cancellation before 1 December 2018: 50% of the fare return.
• In case of cancellation between 1 December and before 1 February: 30% of the travel sum will be returned.
• In case of cancellation between 1 February and 1 April: 10% of the fare return.
• No refund is possible for cancellations from 1 April.
Liability Arctic marathon & responsibility travelers
Arctic marathon is responsible for taking care of the different parts of the trip. The liability of Arcticmarathon is in accordance with the law on the travel agreement.
ARCTICMARATHON.COM does not offer cancellation or travel insurance as an option with the package. Each participant is entirely responsible for taking out travel insurance that is sufficiently opaque for the journey we offer. (Pay attention to coverage of running a marathon, not every cancellation insurance offers cover for an injury). ARCTICMARATHON strongly encourages participants to insure themselves adequately.
ARCTICMARATHON is legally obliged to offer its participants a guarantee fund. As a specialized travel company, we are members of the Guarantee Fund Specialized Tour Operators (GGTO).
We pay this contribution for this guarantee fund. This means that you as a participant will have no extra costs.
ARCTICMARATHON fully complies with the law on the travel agreement.
If during your trip you experience problems with (a part of) the trip, such as accommodation or transport, you must first include this with the tour guide so that he can solve the problem. We will be joining you as a travel organizer so you will be able to share any comments with our team during our trip. We can be reached on the spot 24/7. You will receive our contact details only as a participant.
If a complaint has not been resolved to your satisfaction, you must submit it in writing to Arcticmarathon within one month of your return.
Dutch law applies to all conditions.
